We collect information you provide directly to us, including:

Account information: Name, email address, password, and profession when you register
Business card data: Contact information extracted from card scans (names, phone numbers, emails, companies, addresses)
Payment information: Processed securely by Stripe — we do not store your full card number
Usage data: How you interact with the app, features used, scan counts, and timestamps
Communications: Messages you send to our support team

2. How We Use Your Information

We use the information we collect to:

Provide, operate, and improve the HiveFlow platform
Process your subscription payments
Generate AI-powered contact extractions and message drafts
Send you service-related notifications and updates
Respond to your support requests
Analyze usage patterns to improve our features
Prevent fraud and ensure platform security

3. AI Processing

When you scan a business card, the image is processed using AI to extract contact information. Card images are processed in real time and are not stored permanently on our servers after extraction is complete. AI-generated email and text drafts are created based on your contact data and are never used to train our AI models without your explicit consent.

4. Data Sharing

We do not sell, rent, or trade your personal information. We may share data only in the following limited circumstances:

Service providers: Trusted third parties like Stripe (payments), Supabase (database), and Anthropic (AI) who help us operate our services under strict confidentiality agreements
Legal requirements: If required by law, court order, or governmental authority
Business transfers: In the event of a merger or acquisition, with notice to you
With your consent: For any other purpose with your explicit permission

5. Team Accounts

If you are on the Pro plan with team access, contacts you save are visible to all members of your team. The account owner (master user) manages team access. Please be aware that contacts you add are shared with your entire team.

6. Data Security

We take security seriously and implement industry-standard measures to protect your data, including encryption in transit (TLS), encrypted database storage, and regular security reviews. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

7. Data Retention

We retain your data for as long as your account is active. If you cancel or delete your account, your data will be retained for 30 days to allow recovery, then permanently deleted. You may request immediate deletion by contacting support@hiveflo.app.

8. Your Rights

Depending on your location, you may have the right to:

Access the personal data we hold about you
Request correction of inaccurate data
Request deletion of your data
Export your contacts in CSV format (Pro plan)
Opt out of non-essential communications
